City of Tshwane Recieves Intranet Platform
The City of Tshwane was using an outdated document management system which was file based and did not provide them with an efficient means of cataloguing, managing, searching and collaborating. They required a robust, scalable platform which would allow them to store documents in a manner which would reflect the way in which their organization had evolved and give users the ability to easily create, save, version and source documentation. Additionally the City of Tshwane required the target platform to replace their current intranet, which was difficult to manage and required a dedicated solutions manager to update content. The system implemented was also required to integrate with the City of Tshwane website. nVisionIT, together with the assistance of the Microsoft South Africa Team, recommended the implementation of SharePoint as a solution which could encompass all of the City of Tshwane's current and future requirements.
The key design goals for this project were:
Allow employees to access the documents remotely
Allow employees to access version history around documents
Move documents from the existing file store on to SharePoint, into either a records management or document management structure. The existing file store carried over 1 Terabyte of information, of which most will eventually be moved across to the new SharePoint solution. City of Tshwane also needed to implement a technology which could be extended with time to allow for the following:
Implement a record management strategy nVisionIT, deployed an enterprise wide implementation of SharePoint Enterprise Edition incorporating the City of Tshwane's preferred look and feel in order to meet the above requirements. Initially, standard SharePoint features were deployed as part of phase one with the idea that a phased approach would be the best implementation strategy in order to gradually introduce users to the new functionality.
nVisionIT build specific site and structure templates for use by the system administrators that targeted the organizational Information Architecture directly. The deployment, hand over and user training of the system was achieved in just over a month.
